TMEA Region XIX Fall Orchestra Division Meeting Minutes

I.                     Call to order by George Tate, Orchestra Division Chairman

II.                   Minutes of spring meeting reviewed and approved.

III.                 Handouts distributed by George Tate included meeting agenda, New York Times article, Region and All-State information, spring meeting minutes, jobs to be filled with their explanations, director information up-date page and Online entry instructions.  Mike Astwood distributed etudes to Intermediate directors.

IV.                 New business

A.      Band fee question – has been turned over to state level

B.       All State Taping Fee discussion

1. Current charge of $10 does not cover region’s total cost

2. Motion by T. Ledford to increase fee to $15 was accepted.

C.       Introduction of new directors

D.      Region Positions/jobs

1. Mark Varian will continue computer duties

2. Tom Dinardis will take the place of Stuart Eisen and help out, as well.

E.       Junior High Information

1.        Mike Astwood handed out packets of etudes.

2.        May distribute to students beginning Aug. 18

3.        Must provide entries online – don’t forget to mail checks.

4.        M. Astwood will email all audition & seating information

5.        Cut off for alternates will be Tuesday before clinic

6.        Organizers needed – need 2 per group and 2 per group for folders

7.        B. Woodruff requested M. Astwood talk to percussion organizers to ensure all percussion equipment is at sight for Friday night rehearsal as there will be 8 percussionists per group.

8.        Request to move audition time back one hour for schools who have to travel was accepted.

9.        Request to have folder with each school’s student name tags available at audition for parent distribution was accepted.

10.     Discussion to use audition time request on entries led to conclusion that directors should monitor student requests for legitimate purposes.  Only use a.m./p.m. request to resolve conflicts.

11.     Jan Brenneman will organize clean up of site after performances.

F.       High School Information

1.        George Tate asked directors to review New York Times article.

2.        New UIL Entry procedures were reviewed

3.        All UIL entries will be entered at http://www.UILregion19.org (.com or .net)

4.        All TMEA entries will be entered at http://www.tmea.org

5.        New PML CD – must use Read Me File first to get info on extracting files.  Multi-movement selections do not show up, you must go to “details”.

6.        Acknowledgment of directors helping out

7.        Directors must be present for all rehearsals.

8.        Students must be supervised during rehearsals and breaks

9.        J. Kidwell will take place of S. Eisen on UIL Advisory Committee

10.     Services for Milam Svamberra will be held on 8-16 at First Baptist of La Porte at 5:00 p.m.

11.     Noted that Karan Pitts is doing well, TODA raised over $1800 in silent auction for her foundation.
